OUR PROCESS
How it Works
From your first conversation to ongoing support.
Here's what working with The Virtual Collective actually looks like.
We know that handing over any part of your practice is a big decision. That's why we've designed a process that's careful, considered, and built entirely around getting it right - for you and for your practice.
There's no rushed onboarding, no guesswork, and no feeling like you've been handed off to someone who doesn't know your world. Just a steady, supported transition into having the right person in your corner.

With Emma, Founder of The Virtual Collective
This is a relaxed, no-obligation conversation where we get to know your practice - how it runs, what's taking up your time, what you've tried before, and what you actually need. It's about making sure we're genuinely the right fit for each other. If we are, we'll talk through next steps. If we're not, we'll tell you honestly.

The right fit changes everything.
Once we've decided to move forward, Emma personally selects the VA who is the best match for your practice. This isn't random allocation - it's a considered decision based on your systems, your working style, your pace, and the type of support you need.Your VA will have relevant experience in allied health and will be thoroughly familiar with the standards and sensitivities that come with supporting a psychology practice.
"We take the matching process seriously - because a great fit from the start means less time getting up to speed, and more time actually supporting your practice."— Emma, Founder

Steady, supported, and at your pace.
Your VA joins you from the very beginning of onboarding - so the relationship, the familiarity, and the trust all build together from day one.Emma is involved throughout the onboarding process to make sure everything is set up, your preferences are documented, and your VA has everything they need to support you well.
We take onboarding seriously. The more care we put in at the start, the smoother everything runs from there.
What we cover during onboarding:Your practice management system setup and access
Preferred communication styles and response times
Key workflows - appointments, billing, intake, client communications, and all processes
Working boundaries and expectations - availability, turnaround times, and how we communicate day to day
Anything specific to how your practice runs

Consistent, reliable, and genuinely invested.
Once onboarding is complete, your VA becomes your dedicated point of contact. They'll know your practice, your preferences, and your clients - and they show up consistently, every week.Emma remains available in the background. If something comes up, if your needs change, or if you ever want to check in - she's there. You're never just left to figure things out alone.
This is what boutique support actually means - not just at the start, but for the long term.
